What We Collect

When you use InstantBot, we collect:

• Account information: Your email address when you sign up.
• Website content: The publicly available text on websites you ask us to read, so your assistant can answer questions.
• Chat conversations: Questions visitors ask and the answers provided, so you can review them in your dashboard.
• Usage data: How many messages your assistant handles each month.

How We Use Your Data

• To provide and improve the InstantBot service.
• To send you important updates about your account.
• We do not sell your data to third parties.
• We do not use your website content or chat data to train AI models.

Data Storage

Your data is stored on servers located in Germany (EU). We use industry-standard security measures to protect it.

Your Rights

You can:

• Request a copy of your data at any time.
• Delete your account and all associated data.
• Export your conversation history.

Cookies

We use essential cookies and — only with your consent via the cookie banner — analytics cookies (Microsoft Clarity, PostHog) to improve the product. We do not set advertising cookies. The chat widget stores a visitor ID in the browser to maintain conversation history. You can update your cookie preferences at any time via the banner or by clearing the consent flag from your browser localStorage.

Third-Party Services

We use Groq for AI processing. Chat messages are sent to their servers to generate responses. Groq does not store or use this data beyond providing the response. See Groq's Privacy Policy.

We use Microsoft Clarity and PostHog for analytics. These services collect anonymized usage data to help us improve the service.

We use Resend for transactional emails. Your email address is shared with Resend solely for the purpose of sending you account-related emails.

Data Processors and Data Transfers

The following services process data on our behalf:

• Hetzner Online GmbH — Server hosting (Germany/EU)
• Groq Inc. — AI chat processing (USA)
• Resend Inc. — Email delivery (USA)
• Microsoft Corporation — Clarity analytics (USA)
• PostHog Inc. — Product analytics (USA/EU)
• Stripe Inc. — Payment processing (USA)

For processors outside the EU/EEA, data transfers are secured by Standard Contractual Clauses (SCCs) per Art. 46(2)(c) GDPR.

Data Processing Agreement (GDPR)

If you are located in the European Economic Area (EEA), we process your personal data in accordance with the General Data Protection Regulation (GDPR). The legal basis for processing is:

• Contract performance (Art. 6(1)(b) GDPR): To provide the InstantBot service.
• Legitimate interest (Art. 6(1)(f) GDPR): To improve our service and ensure security.
• Consent (Art. 6(1)(a) GDPR): For optional analytics and marketing communications.
